Setting Up Your Sales Pipeline
Step 1: Create a Pipeline
- Go to DoubleScale → Sales → Pipelines → New Pipeline
- Name it (e.g., Main Sales, Enterprise, Agency Clients)
- Set a default currency
Step 2: Define Pipeline Stages
- Lead — Initial contact, not yet qualified (10% win probability)
- Qualified — Discovery call completed, budget confirmed (30%)
- Proposal Sent — Written proposal delivered (50%)
- Negotiation — Active back-and-forth on terms (70%)
- Closed Won — Deal signed and payment received (100%)
- Closed Lost — Deal not proceeded with (0%)
Step 3: Add Deals
- Manually: Open a contact and click Add Deal
- From the board: Click + Add Deal in any stage column
- Automatically: Use the Create Deal action in any automation
Automating Your Sales Pipeline
Auto-Create Deals from Form Submissions
Trigger: Form Submitted (Request a Quote form) → Create Contact → Create Deal (pipeline: Main Sales, stage: Lead) → Email: immediate acknowledgement → Notify Team.
Auto-Move Deals Based on Behaviour
Trigger: Email Link Clicked (contact clicked pricing page link in proposal email) → Update Deal Stage to Negotiation → Notify Owner: “Hot lead! Just visited pricing page — follow up now.”
Automated Follow-Up per Stage
Trigger: Deal Stage Changed to Proposal Sent → Wait 3 days → If still in Proposal Sent: Email follow-up → Wait 4 days → SMS: “Any questions about the proposal?” → Wait 7 days → Final email: “Is this still a priority?”
Pipeline Reporting
- Pipeline value: Total value of all open deals
- Weighted pipeline: Total adjusted by stage win probabilities (more realistic forecast)
- Win rate: Percentage of deals marked Closed Won
- Average deal size: Useful for identifying upsell opportunities
- Average sales cycle: Days from creation to close
- Stage conversion rates: Percentage of deals moving stage to stage
Best Practices
- Set a maximum “stale” time per stage — deals idle too long should trigger an alert
- Always assign an owner to every deal
- Log calls and meetings manually in the contact timeline
- Review the pipeline weekly in a 15-minute team meeting
- Close lost deals quickly to keep your metrics accurate
