How it works

Track it, check it, bill it

Time lives on the same records as the work, so nothing has to be copied from another app.

  1. 1

    Track

Start a timer from the top bar or from any project, task, subtask or deal, or type the time in afterwards.

  2. 2

    Check

See every entry by client, project and team member, with what is billable and what is still un-billed.

  3. 3

    Bill

Select un-billed time and create a draft invoice at the project’s hourly rate, one line per entry.

The timer

One click to start, wherever you are

The timer sits in the top bar of every DoubleScale screen, so it keeps running while you move between contacts, deals and projects.

  • Already filled in: start it on a task and the client, project and task are picked for you.
  • Forgot to start it? Move the start by 5 or 15 minutes, or type 45m, 1.5h or 1:30.
  • One timer at a time: starting another asks whether to stop and save the first.
  • Recent lists your last entries, to pick up where you left off.

Invoices from time

Bill the hours without a spreadsheet

Select a client’s un-billed entries and DoubleScale writes the draft invoice: one line per entry, the hours as the quantity, at the project’s hourly rate.

  • Never billed twice: billed entries are linked to their invoice and leave the un-billed list.
  • Billable or not: mark internal work non-billable so it never reaches an invoice.
  • Your rate, your tax: change the hourly rate and add a tax before the draft is created.
  • A normal invoice: edit it, send it and get it paid online like any other.
Create invoice from time: 4 time entries, 5.92 hours for Felix Bauer, an hourly rate of 85.00 USD and a tax choice
On every project and deal

See the hours behind every project

Each project and deal gets a Time tab with the time worked, what is billable, what is left to invoice and the average entry. Tasks and subtasks show their own time too.

  • Estimate vs actual: the time worked next to the project’s estimated hours.
  • Filters and export: by date, status and team member, and a CSV for your own reports.
  • Tickets too: log support time against a helpdesk ticket.

In the client portal

Show clients the work, not the rates

Clients open Time worked in their portal: the total, the average hours per month and every entry on their projects, for the period they pick.

  • Notes appear only on projects where you choose to share them
  • Rates and billing details never reach the portal
  • Each project’s page shows its hours next to what was invoiced and paid

FAQ

Time tracking questions

How the DoubleScale Time Tracking add-on works.

Which plans include time tracking?

The Time Tracking add-on is included with the Plus and Enterprise plans, yearly or lifetime. Install it from DoubleScale › Extensions with your licence.

What can I track time on?

Projects, tasks, subtasks, deals and helpdesk tickets. An entry started on a task picks up its project and client automatically.

How do I invoice tracked time?

On the Time page or a project's Time tab, select a client's un-billed entries and choose Create invoice. DoubleScale creates a draft invoice with one line per entry at the project's hourly rate, and marks the entries as billed.

Can my clients see the hours?

Yes, in the client portal's Time worked page and on each project. You decide whether notes are shared; rates and billing details are never shown.

Does every team member see everyone's time?

No. CRM managers and project managers see everyone's time; other team members see and log their own, and project members never see rates or money.
