Agencies do not lose clients because they lack a Kanban board. They lose them because the board, the CRM, the invoice, and the client login are four products. Monday has the board. HubSpot has the people. FreshBooks has the invoice. A client portal plugin has the login. Nobody can answer “what are we delivering, for whom, and have they paid?” without tab-hopping.

If you searched for a WordPress project management plugin, you are usually comparing:

  • SaaS PM (Monday, Asana, ClickUp) — strong delivery UX, zero native WordPress contacts or WooCommerce history.
  • WordPress PM plugins (WP Project Manager, UpStream) — projects on your site, but not a CRM, not a helpdesk, not invoicing unless you stack add-ons.
  • A CRM that treats a project as client delivery: a board tied to a contact, optional deal, tasks, files, discussions, and a portal the client can actually open.

DoubleScale Pro is built for that third job. Projects get custom Kanban statuses, owners, budgets, dates, and progress from linked tasks. You can convert a won deal into a project. Clients see their projects in the client portal (and on a shareable project page). Invoices and proposals attach to the same project — not a Drive folder named “Acme – FINAL v7.”

Here is how WordPress project management compares when the client already lives in your CRM.

What “project management in WordPress” should mean

A page of checkboxes is not a project. For agencies and freelancers, a WordPress project tool should cover:

  • A Kanban of projects (not only tasks inside one project) with statuses you define
  • A client contact on every project — and portal access for that contact
  • An optional link to the sales deal that sold the work, including deal → project conversion
  • Tasks under the project, with progress you can calculate from completion
  • Budget, start/due dates, owner, files, and a discussion thread
  • Linked invoices and proposals so delivery and billing share a record
  • Roles so a project manager is not also your full CRM admin

Monday will beat any WordPress plugin on dashboards and automations inside Monday. It will not store the project next to the WooCommerce order and the support ticket unless you pay for the integration tax forever.

1. DoubleScale Pro — client delivery boards inside WordPress

The Projects module is Pro-only. It is a delivery layer on top of the CRM, not a generic “team workspace.”

A project record includes:

  • Title, description, owner, budget, start and due dates
  • A status column on a Kanban (defaults include New, In Progress, Done, Completed — you can customize)
  • A linked client contact and an optional deal
  • Progress you can set manually or calculate from completed tasks
  • Threaded discussions, an activity feed (notes, files, emails, documents), and attachments
  • Links to invoices and proposals from the sales documents module

Two client-facing surfaces matter more than another admin table:

  • The unified client portal — the contact sees their projects, not your whole agency board
  • A shareable project page (
Project link is invalid or missing.
) with a hash URL when you want a standalone view

Staff get Project Manager and Project Member roles. Project-only users can be scoped to the Projects menu instead of the entire CRM. Automations cover created, status changed, completed, owner changed, due soon/overdue, comments, and converting a deal into a project.

What it is not: a Gantt tool, resource leveling, or Jira for a 40-person engineering org. Ownership is an owner (plus role caps), not a full RACI matrix. If you need baselines and portfolio workload, keep Monday. If you need “this client, this delivery, this invoice, this portal login,” DoubleScale matches how agencies actually run WordPress sites.

2. Monday.com — the board everyone already knows

Monday wins on visual boards, templates, and “we already trained the team.” You will still export clients into Monday, keep WordPress as a brochure, and reconcile invoices somewhere else. Guest access is Monday’s guest access — not your WordPress users or DoubleScale portal.

Keep Monday if PM is the company. Move to WordPress if the website, the CRM, and the client login should be one stack.

3. Asana — great for internal delivery, weak as a client system of record

Asana projects, timelines, and workload are mature. Clients as guests means another login. There is no WordPress invoice, no WooCommerce order on the project, no helpdesk ticket beside the milestone. Fine for product teams. Awkward for retainers sold from a WordPress CRM.

4. WP Project Manager — the default WP plugin answer

WP Project Manager has been the “just use WordPress” recommendation for years: projects, task lists, Kanban, discussion, clients as users. It does that job. It does not replace a CRM. You will still want something else for pipelines, email campaigns, and support tickets.

Pick it if you only need PM and already standardized on another CRM. Pick DoubleScale if the project should be born from the deal you just won.

5. UpStream — front-end projects for clients

UpStream’s pitch is client-facing project pages (milestones, tasks, bugs, files). That is closer to DoubleScale’s portal idea than a closed wp-admin plugin. It is still not a sales CRM: no native deals, campaigns, or helpdesk inbox. Useful as a thin client PM layer; not an operating system.

How agencies actually use DoubleScale projects

  1. Win the deal on the pipeline.
  2. Convert the deal to a project (or create the project and attach the contact).
  3. Drop delivery work into tasks on that project. Progress can follow task completion.
  4. Attach the proposal you already sent and the invoices that collect payment.
  5. Let the client follow status in the portal instead of “any update??” emails.

That path is why project management in DoubleScale is a Pro module next to Tasks and Helpdesk — not a separate SaaS with another bill.

How to choose

  1. If the client must log into your WordPress site to see delivery, prefer a plugin with a portal (DoubleScale, UpStream) over Monday guests.
  2. If you sell from a pipeline and then deliver, the project should link to the deal and contact.
  3. If you need Gantt, dependencies, and capacity heatmaps, stay on Monday/ClickUp/Jira.
  4. If invoicing and proposals are part of the project, do not pick a board that cannot attach documents.

For WordPress agencies, the honest category is not “best PM tool in the world.” It is “best project record next to the CRM the client already sits in.”

Frequently asked questions

What is the best WordPress project management plugin for agencies?

If you only need boards and task lists, WP Project Manager or UpStream will do. If the project must sit on the same contact as deals, invoices, tasks, and tickets — with a client portal — DoubleScale Pro is the WordPress-native option. It is not a Monday clone.

Does DoubleScale include projects in the free plugin?

No. Projects (Kanban, portal, deal conversion, discussions, invoice/proposal links) are a DoubleScale Pro module. The free plugin includes the core CRM and the helpdesk/ticketing baseline.

Can clients see projects without a wp-admin account?

Yes. The client portal shows that contact’s projects. You can also share a hash-based project page. They do not get your internal Kanban of every client.

Can I turn a won deal into a project?

Yes. Projects can store a deal ID, and the REST API supports converting a deal into a project. Automations can also fire when a project is created from a deal.

Does project progress come from tasks?

You can set progress by hand or calculate it from tasks linked to the project (task entity type = project). That is why Tasks and Projects are meant to be used together in Pro.

Is this a replacement for Jira or Monday?

No. There is no Gantt, sprint planning, or resource leveling. DoubleScale projects are client-delivery boards inside a WordPress CRM — closer to “agency job jackets” than engineering issue tracking.
