Merge Duplicate Contacts

DoubleScale keeps one record per person. When a new or edited contact matches an existing one, you review and merge them instead of ending up with duplicates, and every related record is kept.

When DoubleScale detects a duplicate

  • Adding or editing a contact with an email address, phone number or WhatsApp number that already belongs to another contact.
  • Creating a contact that already exists: DoubleScale offers the existing contact instead.

Merge two contacts

  1. When DoubleScale reports a duplicate, choose to review and confirm the merge.
  2. The Merge contacts window shows which contact stays the primary contact and which will be merged into it.
  3. Check Conflicting fields kept on the primary contact: where both records have a value, the primary contact’s value is kept; empty fields on the primary are filled from the duplicate.
  4. Check Records that will be preserved: deals, activities, documents and other related records move to the primary contact.
  5. Click Confirm merge.

The primary contact’s timeline records the merge, and nothing is deleted. If anything fails during the merge, the whole merge is rolled back.

Rules

  • A contact cannot be merged into itself.
  • Contacts with different values for the same unique identifier cannot be merged.

Automatic merges and notifications

When two records have nothing in conflict, DoubleScale can merge them automatically without asking. To be told when that happens, go to Settings → Business → Duplicate contacts and enter a Merge notification email (for example a data-quality address). Each automatic merge sends a notice with a link to the merged contact. Leave it empty to send nothing.
